Resource Allocation: Custom App and Database Design

m&i put on global events in the Meetings, Incentives, Conferences, and Exhibitions (MICE) industry, in the world’s best destinations, attracting key buyers and creating an atmosphere perfect for networking.

With hundreds of attendees and up to 30 staff at an event, this requires complex resourcing, allocation, and communication. Previously, this was done manually in Excel, taking hours of planning and difficulties communicating schedules.

Analytic Endeavors stepped in to help by first creating a back end database to store and collect information. Next, an input app was developed for event managers to create their schedules for each event. Schedules can have hundreds of tasks with up to 30 employees attending.

Then, the magic is applied. An algorithm assigns a staff member to each task - taking into account their correct team, availability, balancing workloads and even ensuing enough mandated breaks. A task that took days can now be automated in a click of a button.

The final output was an app for each staff member to download on their phone, removing the need for them to open spreadsheets. This enabled them to see calendar views, drill into important notes, and event get alerted automatically when their schedule changes. The old views were kept though - linking Excel in the existing style directly to the database to see real time updates, for those hardcore Excel fans.
